Conference Room Guidelines

Thank you for using the conferencing rooms at FORUM. Each room is equipped with wireless and wired presentation and web conferencing capabilities to accommodate your technical needs. To best support your meeting for video conferencing and presentation use, please install the appropriate software available below prior to the start of your meeting.

BOOK THE ROOMS

Book the Lenox, Murray, and Sutton conference rooms anytime, anywhere. The Lenox room seats up to 14 persons, the Sutton room seats up to 10 persons, and the Murray room seats up to 8 persons.

ONLINE BOOKINGS

Booking Platform: Schedule your booking for the conference rooms in advance through the online booking system. Select the appropriate meeting duration, meeting date and time, and provide your contact information to reserve a room.

Scheduling Panels:  If a Conference Room is available, indicated by a green Scheduling Panel, you can book an ad-hoc meeting by pressing the “Book Now” button directly on the panel. The Scheduling Panel will show the free time available before the next scheduled meeting.

 

CHECK IN TO YOUR MEETING

Starting ten minutes before your meeting, the “Check In” button will display on the Scheduling Panel. Please press the “Check-In” button before entering the room. If you do not Check-In to your meeting within fifteen minutes of the start time, the Conference Room will release and become available for booking.

Cancellation Policy: All tenants must check-in to their meeting through the Scheduling Panel upon arrival. To alter or cancel your upcoming meeting, visit the Panel or to your booking confirmation. Please contact the Tenant Experience Team at [email protected] for support.

Connect using the USB plug-in for presentations and video conferencing

Windows

  1. Download the latest Displaylink USB Graphics Software for Windows
  2. Plug the Logitech Swytch (purple dongle) into your device to screen share
  3. Present or video conference

MacBooks

  1. Download the DisplayLink Manager Graphics Connectivity for Mac devices
  2. Plug the Logitech Swytch (purple dongle) into your device to screen share
  3. Present or video conference

SCREENBEAM

Wirelessly connect to the room for presentations and video conferencing

Presentation: ScreenBeam solution allows you to present (with sound) without the need to install any drivers. Follow the instructions on how to present wirelessly on the screen in each room.

Wireless Presentation: ScreenBeam supports Wireless Conferencing (Teams, WebEx, Zoom, etc.). Download and install the ScreenBeam Conferencing drivers on your laptop. The installation may require Admin permission on your device.
